We are looking for you who would like to strengthen our Management Group with your long track record in a similar role, bringing extensive experience and multifaceted competencies developed while working with top management in international environments. You will work in a global marine insurance environment which is demanding and requires a high degree of flexibility and resilience as well as deep understanding of business processes and variations in business culture.

The Executive Assistant role
The role's responsibilities include assisting and supporting the Directors of Finance, Underwriting, and Claims with administrative tasks and driving assignments in a project management-based manner. You will also work with the Executive Assistant to the Managing Director to plan, coordinate and execute activities such as meetings, conferences and events. Responsibilities include:
• Coordinating meetings and activities by working directly with several involved internal and external stakeholders
• Serving as a sounding board in developing agendas (we expect you to use your voice), taking meeting notes and being a driver in following up on decisions and actions
• Actively participate in work to develop administrative processes to meet future requirements, involving new tools and ways of working
• Proactively manage high volume email and calendar management, prioritising and taking initiative with appropriate actions
• Editing Board reports and presentations and developing and maintaining administration structures of materials
• Handle travel administration and expense reports
• Administration and follow-up of purchase orders, invoices and expense claims
• Support budget preparations for operational expenses and cost follow-up
• Experienced user of a variety of IT platforms such as Microsoft 365/Office, SharePoint/Teams and willing to learn new technologies, e.g. Generative AI.
Communication is at the core of your work. You need to independently formulate verbal and written information in English and Swedish so fluency in business English and Swedish (both written and verbal) is essential. You are “ahead of things”— your ability to organise, plan and follow up is essential. You are often “two steps ahead” of your Directors, anticipating their needs and looking for ways to help ease their workload. You take pride in accuracy and efficiency in your work, have integrity when handling confidential information, and are service- and solution-oriented. You enjoy having many things on your plate simultaneously, are independent, and take your own initiative when the situation requires.
